CRM Integration Setup Guide

Bring eligible Deeplead email conversations into your CRM and reply through the original sending inbox using the Deeplead Persona channel.

Current availability: The integration is in a limited testing rollout. Connection is arranged with Deeplead support; general self-service installation is not available yet. Contact support@deeplead.io to confirm availability for your business before attempting installation. Live sending requires separate activation and a successful test.

Before you start

  • An active Deeplead account and a CRM business account you are authorized to connect.
  • A supported, active SMTP sending inbox in Deeplead with an existing email conversation.
  • Confirmation from support that your business account is configured for this integration.
  • A test contact and mailbox you control to check sending and receiving before customer use.

Your Deeplead plan and usage charges still apply. Your CRM and email subscriptions are separate. Confirm any additional integration charges with support before activation. Review the integration terms and privacy policy before connecting.

1. Arrange and authorize the connection

Email support with your Deeplead account email and the name of the CRM business account you want to connect. Our team confirms eligibility and coordinates the authorized connection session. Start from the Deepleadconnection link provided during that session, rather than the marketplace install button on its own.

Follow the sign-in instructions from support, select the agreed business account, review the requested contact and conversation permissions, and approve only if you are authorized to do so. Return to Deepleadand have support confirm the connection succeeded. If the account is unavailable or access is denied, stop and contact support. Never share your password or connection credentials.

2. Confirm your conversation history

Support checks the contact connection and imports eligible conversation history. In your CRM, open the connected contact’s conversations and find the Deeplead Persona channel. Verify that incoming and outgoing messages have the correct sender, recipient and content. This channel is additional to your CRM’s existing email service; leave the existing default email provider in place.

Only eligible conversations from the configured Deeplead account and supported inboxes are imported. Historical conversations may need a separate import arranged by support. Installing the app does not import every CRM contact or every mailbox automatically.

3. Test a reply

Once support enables test sending, open a synced message for your test contact and choose Reply in the Deeplead Persona channel. Check the content and recipient, then send. The reply uses the original Deeplead sending inbox and email thread. Confirm receipt in your test mailbox, reply from that mailbox, and confirm the new message appears in the CRM. Ask support to confirm the test before customer use.

4. Use the channel

  • Reply to an existing synced message; starting a new conversation is not supported in this channel.
  • Keep the original recipient. Attachments, CC and BCC are not supported.
  • OAuth-connected inboxes are outside this version of the integration.
  • The original inbox must remain active, and the contact must be eligible to receive email.
  • A manual reply can stop pending automated follow-ups for that conversation in Deeplead.

A delivery status can indicate acceptance by the email provider; it does not guarantee inbox placement or that the message was read. If a send is pending or uncertain, check the original inbox or ask support before retrying. See troubleshooting and support for common issues.

5. Disconnect when needed

Revoke or uninstall the app in your CRM’s connected-app settings and ask support@deeplead.io to disable the Deeplead connection and review pending sends. Email already handed to a provider cannot be recalled.

Uninstalling does not cancel your subscription, stop separate outreach campaigns, disable independently configured contact syncing, or delete existing messages in either service. Manage those separately. For stored integration data, follow the data deletion instructions.
